Privacy Policy (Hire a Videographer)

This Privacy Policy explains how 20 Media (“we”, “us”, “our”) collects, uses, and protects personal data when you use hireavideographer.co.uk (the “Website”), enquire, book a videographer, subscribe to the blog, or receive files from us.

We believe privacy should be clear, not hidden behind legal fog.

1) Who we are

If you contact us about a specific production where another organisation is controlling the filming (for example an event organiser), we’ll explain roles plainly.


2) What personal data we collect

We only collect what we actually need to run your enquiry, booking, or delivery properly.


A) Website usage data

When you browse the Website, we may collect:

  • IP address (often partially masked depending on settings)
  • device and browser type
  • pages visited and how you interacted with them
  • approximate location (e.g., city/region)

This is collected via Google Analytics and Meta (Facebook) Pixel, but only if you consent to those cookies. Under UK rules, non-essential cookies (including analytics and advertising/tracking) need consent. 

B) Enquiry and booking data

If you enquire or book, we may collect:

  • name, email, phone number
  • company/organisation name (if relevant)
  • job details: date, location, schedule, brief, deliverables
  • communications you send us (emails/messages)

C) Filming and content data

When we film or edit, personal data can appear inside the content:

  • faces, voices, names on signage/badges, etc.
  • any other personal details captured incidentally in real-life filming

D) Blog subscription data

If you subscribe to our blog, we collect:

  • your email address (and sometimes your name if you provide it)

We use that only to send blog updates (and closely related site updates). No subscriptions, no marketing emails.


3) How we use your data and our lawful bases

UK GDPR requires a “lawful basis” for processing. 

We use your data for:

A) To respond to enquiries and deliver services (Contract / steps before contract)

  • replying to your enquiry, quoting, booking, scheduling, delivering outputs
    Lawful basis: Contract / steps at your request before a contract.

B) To run the business properly (Legitimate interests)

  • quality control, admin, record-keeping, preventing misuse of systems, improving our service
    Lawful basis: Legitimate interests (balanced against your rights).

C) Blog updates (Consent)

  • sending blog post notifications to subscribers
    Lawful basis: Consent (you can unsubscribe at any time).

D) Legal/tax requirements (Legal obligation)

  • invoices, accounting records, responding to lawful requests
    Lawful basis: Legal obligation.

4) Who we share personal data with

We don’t sell your data. We share it only where necessary to deliver the service.

We may share data with:

  • Videographers and editors assigned to your job (so they can do the work)
  • File delivery platforms:
    • Dropbox (file sharing and delivery)
    • Vimeo (video hosting/streaming and delivery)
  • Website analytics/tracking providers (only with cookie consent):
    • Google Analytics
    • Meta (Facebook) Pixel
  • Service providers supporting website hosting, email, storage, and business operations (only as needed)
  • Professional advisers (accountant/legal) if required
  • Authorities where legally required

5) Dropbox and Vimeo delivery

We use Dropbox and/or Vimeo to deliver files or host videos.

That can involve processing personal data (for example: names in filenames, email addresses used to share links, viewing or access logs depending on settings). We keep shares sensible: limited access where possible, and we don’t publicly post your links unless agreed.

6) International transfers

Some providers (including major platforms) may process data outside the UK. Where that happens, we rely on appropriate safeguards recognised under UK GDPR (for example the UK’s International Data Transfer Agreement (IDTA) or the UK Addendum where relevant). 

7) Filming events and people in the background

Filming often means capturing people who are not the person who booked us (audiences, staff, guests).

In many cases:

  • the event organiser/client is the Data Controller for attendee/guest filming, and
  • HAV  acts as a Processor (handling footage under the organiser’s instructions).

The ICO notes that in public settings, consent is often not practical as a lawful basis for video capture, and organisations commonly rely on legitimate interests with appropriate transparency (like notices/signage). 

If you want, we can give you a simple “filming notice” paragraph for tickets/emails/programmes that reduces headaches later.

8) Cookies and tracking (Google Analytics + Meta Pixel)

We use:

  • Google Analytics (to understand how people use the Website)
  • Meta Pixel (to measure advertising performance and build audiences)

These are non-essential cookies/technologies and should not run unless a user has given valid consent (clear, informed, and affirmative). 

Your choices:

  • You can accept or reject non-essential cookies via our cookie banner/settings (where available).
  • You can also control cookies through your browser settings.

9) How long we keep data

We keep data only as long as needed for the purpose it was collected.

Typical retention (edit to match your exact workflow):

  • Enquiries (no booking): up to 12 months
  • Booking/admin records: up to 6 years (accounting/tax)
  • Project files / exports: 12 months (unless agreed otherwise)
  • Raw footage: 30–180 days (depending on job and storage plan)
  • Blog subscriber data: until you unsubscribe

If you want a tighter or longer retention period for a project (e.g., schools wanting archive copies), we can agree that in writing.

10) Your rights

You have rights including:

  • access to your personal data
  • correction
  • deletion (in certain cases)
  • restriction / objection
  • data portability
  • withdrawing consent (where we rely on consent)

If you’re not happy with our response, you can complain to the Information Commissioner’s Office (ICO). 

11) Security

We use practical security measures appropriate to the work (access controls, sensible sharing, and limiting who can access what). No system is risk-free, but we treat client footage like it matters — because it does.

12) Third-party links

The Website may link to third-party platforms. Their privacy practices are their responsibility, so please review their policies.

13) Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page with the “Last updated” date.
